upgrading to
Xerox
DocuShare 6.5.2
You may have received an email note from Xerox
several weeks ago indicating there's a sporadic
problem with indexing some content using the new
Autonomy IDOL indexing engine for versions 6.5.0 and
6.5.2. There is a patch now available on the
DocuShare User Group site (DoUG) to address this
concern. Even if you're on 6.5.X and haven't
seen the problem, you should apply Patch 6. To
access this resource, you should create an account
for yourself if you haven't already. The patch
is in the Downloads section.

including 64 bit Windows and new versions of
databases.
Missing
Characters in Searches
I've run into what could be an issue for some
running DocuShare 6.5.X. If you're using
searches or scripts involving searches which look for
information filed under the letters A or I you may
have discovered that you can't find them. This
is common when filing accounts, clients, or other
content alphabetically. The issue is compounded
when you run scripts or programs that will create a
new A or I collection when one isn't found, thereby
creating redundant collections. The new IDOL engine
installation has an exclusions list that includes A
and I and about one hundred other words that it skips
when indexing content. To correct this, log
into your DocuShare server and open
\Xerox\Docushare\IDOLServer\IDOL\langfiles\English.dat
with Notepad and delete the lines with A and I and
any other words you'd want to be able to search and
find. Add other words you'd like to not be able to
search for, perhaps the names of employees or
projects. Close the file and restart DocuShare
when convenient to enable the changes.
Case notes
When uploading content using DocuShare's new
Content Intake Module, you need to understand that
this is a case sensitive operation, so be sure your
data is always the same. If you sometimes
upload to MacDonalds and other times to Macdonalds
and MACDONALDS, you're going to end up with three
different collections. If your software that
captures or generates this data can utilize a lookup
table to ensure that it's always presented the same
way when used for uploading documents, you'll be able
to avoid this issue.

duplex color network scanner with LCD touch screen.
Using either the flatbed or 50-page automatic
document feeder (ADF), users can scan both sides of
their document to e-mail, a network folder, fax
recipient, FTP location or printer through the large
7-inch, bright color LCD touch panel that displays
all operation modes clearly. Simply make a few
touches on the LCD screen and the job is finished
within seconds. The screen is highly responsive to
touch and the soft QWERTY keyboard makes data entry
easy and fast. The NetScan 4000 can easily support
small to medium workgroups and offices with secure
multi-user access and easy administration through an
embedded form-based web page configuration and a
standard Ethernet connection.

Versatile scanner on sale through year-end
There's a $50 rebate on the
Xerox DocuMate 262i scanner through the
end of the year. This is a great scanner to
have on your desktop for all kinds of documents and
uses. It's a great fit for use with data
capture software and comes with Nuance PaperPort and
OmniPage Pro. It's great for scanning pages and
converting them to Word, Excel, PDF, and other
formats.
I'd also like to bring to your attention the
Panasonic Color Scanner 4085CL and the
Panasonic Color Scanner 4085CW scanners.
They're fundamentally the same scanner, but the
latter is faster. Both have 300 page automatic
document feeders and scan both sides at once.
Perhaps their best feature is they can drop out any
color, not just red, green, and blue. This
means you can get a clear scan of pages on goldenrod,
aquamarine, and lavender paper. You can also
combine two or three colors to achieve and optimum
drop-out effect for colorful invoices and other
accounting documents. These scanners also have
embedded image cleanup firmware installed to optimize
your images for viewing and recognition and reduce
storage requirements. Dirty images require more
disk space.
Advantages of
scanners over networked copiers
- Greater control of scan quality - scanners
provide more control over the contrast and
threshold of bitonal (black & white) and grayscale
images as are generally used in archiving and data
capture.
- Scan both sides at once rather than recirculate
the document to scan the second side. A 50
ppm scanner is much faster than a 50 ppm copier
when scanning both sides.
- Image enhancement tools can be built in to some
scanners, such as Kofax' Virtual ReScan (VRS) which
cleans up the image and prepares it for clearer
archiving. This can be crucial to data
capture application to get the best OCR and ICR
results.
- Color drop-out allows you to scan pages
received on color stock and eliminate the gray
background you get when copying the pages.
This used to be done with special lamps, but now
most scanners are full color and can drop out red,
green, and blue backgrounds and print by virtue of
filtering the color spectrum during the scanning
process. I've yet to see a copier that does
this. Note the advanced drop-out features of
the Panasonic scanners currently on sale.
