Criteria First's focus is on providing document management
solutions, often with data capture front-ends to extract
information from documents that is saved as metadata to
facilitate categorization and improved search and retrieval.
This captured data can also be used to automate the filing
process by use of template-based software to upload documents
with metadata and archival dates set while creating any new
required collections in the process. The same data can be fed
into database tables to support systems relating to ERP and CRM
support. Additional tools have been developed for manually
tagging documents and auto-filing them. Other areas of expertise
include batch OCR and conversion of documents and integration
with new and existing systems as well as print solutions where
hardcopy is generated along with email, fax, or PDF archival.
Xerox now sells Read-Only CALs which are very inexpensive for
large groups of users that need secure access to specific
content not accommodated by guest accounts with broad
permissions. 100 Read-Only CALs is just $4500. It's great for
enabling report distribution for focused users and groups. You
can redirect print to PDFs that are automatically filed in their
personal collection or workspace that others can't find and
access.
Xerox now allows VARs like Criteria First to sell DocuShare
sites to start with only 50 CALs for DocuShare CPX rather than
100 as before. This provides advanced process management in
addition to the document management capability you already have.
Keep that in mind if workflow, auditing, or process control
issues arise at some point.
If you'll recall, Xerox sent out a DocuShare Security Advisory -
XSS Patch Available which pertains to the possibility that
someone can hack into the code that generates the bread-crumb
trail that indicates where the user is as they navigate
collections as well as being a navigation tool in itself. If
your DocuShare server is exposed to the Internet, this would be
something to consider. If not, there's not much chance this
could be an issue for you.
DocuShare Archive Assistant
We're releasing a new tool to assist customers in updating their
expiration_date properties so that they can implement an archive
server without much effort. Few customers actually set a date
for that property when they're filing their documents. This will
sweep through a collection and subcollections to set the
expiration date based on the creation date property. We're also
including the ability to apply a date to a property to indicate
when you should delete the content. You can create your own
property, such as deletion_date, and sweep through your content
to apply such. Documentation has been posted on our DocuShare
site, so have a look at it to understand it's full
functionality. Feedback is welcome.

There was a well-written article by an old friend of mine in
Xerox' DocuShare Business Unit that appeared in the June issue
AIIM's magazine, AIIM E-Docs (now called Infonomics). You may
want to have a look at this. It's very reassuring that you're
using a great collaborative document management system when
you're using DocuShare 6.

New Scanning Capabilities
Scan-to-Collection for DocuShare Users
Many of you have asked and it is finally here. Now all CPX and
DocuShare users can use DataGlyph cover sheets to scan to any
collections they have access to. Previously, DocuShare users
could only scan to their personal collection. In response to the
needs of our customers and requests from the sales team, this
new capability has been added in the latest release of version
6.
Coming Soon - Enhanced EIP Integration
DocuShare will soon have EIP integration directly with Xerox
multifunctional devices without installing any additional
software! Your customers will be able to browse the DocuShare
folder structure to find and print a document or scan directly
into the collection of your choice. Either way, your copier or
MFD will soon get a lot smarter.
